General data processing policy - external
(Version 6 January 2020)

DBeR bv (further "COMPANY" or "we") takes your rights in data processing seriously. In this document, DBeR bv explains how it collects, processes and uses your personal data. It thus constitutes DBeR bv's general data processing policy.

The data controller is the managing director of DBeR bv.

For questions regarding this statement and our policy, please contact us at info@dber.be. For questions that are more than a request for information, we may ask you to identify yourself so that we can be sure that we are providing the requested information and data to the right person.

When and for what purposes does DBeR bv collect and process data?

DDBeR bv collects and processes data about you when you as a customer call on us for works (new construction, renovation, etc.) when you fill in our contact form or contact us in any other way. We summarise these activities under the heading "customer management" and relate in particular to the execution of the projects we conclude with you.

If you are a supplier, we process your data or those of your contact persons within the scope of the delivery of products or services, for the generic purpose of "supplier administration". In this case, we may also include your data in our work planning together with the data of our own employees.

We also process your data, as a customer or supplier, when preparing invoices and other accounting documents. This constitutes the "accounting" purpose.

Finally, we may process data about you because it is or may be important for our activities, for example to be able to call on your advice or services. We describe these activities as "communication" or "public relations".

What data does DBeR bv collect and process?

It concerns the data you communicate to us and that we need for the execution of the project you call upon us for, such as your name, address, e-mail address and professional data, such as company name and VAT number. You usually provide us with these data directly, but we may also obtain them from your architect or other parties you work with.

The data may also relate to your interests in or plans for a future project.

From suppliers, we may process certain data to allow us to properly schedule works. This includes availability and attendance, as well as the type of works.

We process financial data for accounting purposes.

Data about your position and activities are processed within the framework of communication or public relations.

How does DBeR bv collect your data?

We collect your data when you complete (paper or electronic) forms. Sometimes this happens through a conversation, telephone contact or email exchange.

Normally we obtain this data directly from you. Sometimes we obtain it indirectly. This is the case with data about employees of suppliers who are active on our sites that we obtain from the suppliers themselves.

It is also the case with direct marketing that we obtain your data from third parties. We will then inform you where we obtained your data.

When you visit our website, we use cookies, about which you can find more information on our disclaimer. We do this in particular to tailor the content and ease of use of that website as much as possible to you as its user. In addition, we process your data to fulfill the obligations arising from the provision of a website and its content and to enable you to use the interactive applications and services on this website.

What are the bases for the processing of data by DBeR bv?

In principle, we collect and process your data on the basis of the contractual relationship we have with you as a result of your order and the contract we enter into with you. This is also the basis for processing data on suppliers and for processing "accounting".

Where the processing is not necessary to carry out the contractual relationship, as in the case of direct marketing and communication/public relations, it is based on our legitimate interests as a company, in particular the freedom of enterprise and information. In doing so, we always ensure that a balance exists between our and your interests, for example by granting you a right of objection.

Are data disclosed to third parties?

Your data are mainly processed internally in the context of customer management, supplier management, work planning, accounting and communication/public relations by the service/responsible party responsible for these activities.

They may be transferred for certain punctual services or assignments to processors we use, albeit always under our control.

Sometimes we are required to transfer data about you. This is particularly the case when we are required to do so by law or when government agencies with the right to do so request data from us. In such cases, we check whether the conditions for requesting data have been fulfilled.

In principle, your data is not transferred to third countries or international organizations.

This may possibly happen in the context of contracts for cloud services that we conclude. Then your data may be stored on servers in third countries to which in principle only we have access. In that case, we ensure that the provider of those services is located in a third country with an adequate level of protection or that an agreement is concluded with that provider to protect your rights.

Your rights

You can access the data that we process about you at any time and, if necessary, have it corrected or deleted To this end, it is sufficient to request this from info@dber.be with proof of your identity. We request this in order to prevent your data from being disclosed to anyone who is not entitled to it.

If you do not agree with the way DBeR bv processes your data, you can always lodge a complaint with the Data Protection Authority (www.privacycommission.be), rue du Printing Press 35, 1000 Brussels.
